What does the Seat Availability function do?
It enables you to change an Availability Status - i.e. add or remove allocations or locks - for seats, on a performance in Box Office.
Who has access to this function?
You must have Box-Office Admin, Event Manager, Admin or Owner user roles to be able to access the Seat Availability function. The standard Box-Office user only has access to the Basket function in Box Office.
Can I also do this on the Performances page?
Yes, if you have the correct user permission, i.e. Event Manager, Admin or Owner, you can add allocations/locks on the Performances or Availability page on the Event.
Seat Availability on Box Office, though, allows you to not only do it for a specific performance but also while seeing a live venue plan - so you can assign allocations/locks while seeing which seats have been sold.
How do I change Seat Availability on Box Office?
By using the legend underneath your venue plan, and choosing the Change Seat Availability option instead of the Add to Basket option.

How do I create an Availability Status?
On the Availability page for your Event. You must create one here in order for it to appear for you in Box Office.
Here you can assign seats for an Availability Status - however, you can change the seats for a specific performance afterwards in Box Office.

STEP-BY-STEP GUIDE:
1. Go to Event and Performance
a) Go the Box Office page and select the correct Channel and Purchase Flow in the top-right
b) Click on your Event
c) Select the performance you want to change Seat Availability for from the calendar
2. Go into Seat Availability mode
a) Scroll down to the pricing legend at the bottom of the page
b) Change from Add to Basket mode to Change Seat Availability mode by clicking the 3 lines icon in the bottom right (can't see this option? This will be because you don't have the correct user permission. See here for more info)
NOTE - you can collapse the legend if you need to, in order to see the entire venue plan. Just click the down arrow in the bottom right and the legend will disappear. If you need it up again, click the up arrow. You can also zoom in and out in order to see all seats.
3. Select seats
a) Want to find seats attached to a particular Availability Status? Click on an Availability in the price legend and the venue plan will focus on the seats attached to it. You can also for this for your Bands above
b) Want to add a new Availability Status to this performance? Click See All on the legend
c) On the pop-up, select your new Availability Status(es) and click Add Availabilities
d) To go back to all seats and Availabilities, go into Basket mode by clicking the basket icon and then click the cancel/circle icon to the left of the legend to clear selection
NOTE - you'll then need to click into Seat Availability mode to change Availability. You can only select one Availability at a time on the legend when in this mode, but you are still able to add seats to different Availabilities. See below for further instructions
e) Select seats by holding the shift button on your keyboard and bringing up the Paintbrush icon
f) While still holding shift, click and drag across seats with the Paintbrush. For more info on the Paintbrush feature, go here
g) To remove any seats you have selected, hold shift + command to bring up the Eraser icon
h) While still holding shift, click and drag with the eraser icon to deselect any seats you've highlighted
4. Select the new Availability Status for your seats
NOTE - you can change Seat Availability by either clicking on the Availability first and then the seats or the seats first and then the Availability. If you are changing the Availability on lots of seats in different areas, then it may be better selecting the Availability first - go to step 4b to see those steps.
a) Select seats first and then Availability:
- Once you've selected your seats, let go of shift to release the Paintbrush and then click the Availability Status you'd like to add the seats to on the legend underneath
- Once you've clicked the Availability, the seats will be highlighted with their new Availability outline, along with any other seats assigned to that Availability
b) Select Availability first and then new seats:
- Once you've selected your Availability on the legend, select the seats you'd like to add to the Availability with the Paintbrush
- Let go of shift and the seats will be highlighted with their new Availability outline
5. Want to sell some seats?
a) Go back to Add to Basket mode by clicking the basket icon in the bottom right
b) Select your seats with the Paintbrush and add tickets to your basket. For full instructions on selling tickets, go here
